Business English: Meetings and Presentations

Inglês para Reuniões e ApresentaçõesTravel and WorkB1–B2

In international companies, meetings and presentations are where people notice your English. You do not need complex grammar: you need the right chunks to open a meeting, give your opinion, disagree diplomatically, interrupt without sounding rude, survive a video call and guide your audience through a presentation.

B1 Running a meeting and sharing opinions

Key meeting vocabulary

Opening and running the meeting

StagePhrasePortuguês
OpeningOK, let’s get started. Thanks for coming, everyone.Bom, vamos começar. Obrigado a todos pela presença.
PurposeThe aim of today’s meeting is to agree on the launch date.O objetivo da reunião de hoje é definir a data de lançamento.
AgendaThere are three items on the agenda.Temos três itens na pauta.
ApologiesCarla can’t make it today, so I’ll update her later.
Giving the floorRafael, would you like to start?Rafael, quer começar?
Moving onLet’s move on to the next item.Vamos passar para o próximo item.
Keeping focusI think we’re getting off track. Let’s go back to the budget.Acho que estamos fugindo do assunto. Vamos voltar ao orçamento.
TimeWe’re running short of time, so let’s be brief.

Giving and asking for opinions

  • In my opinion, we should focus on existing clients first.
  • I think the deadline is a bit tight.
  • From my point of view, the cost is the main issue. (Do meu ponto de vista, o custo é o principal problema.)
  • What do you think, Júlia? (O que você acha, Júlia?)
  • How do you feel about moving the launch to May?

Agreeing and disagreeing politely

Direct disagreement (“You’re wrong”, “No, that’s not true”) sounds aggressive in English business culture. Soften it: show you understand the other view first, then give yours.

Agreeing

Show clear support.Mostre apoio claro.

I completely agree. That’s a good point. (Concordo totalmente. Bem lembrado.)

Partly agreeing

Accept part of the idea and add a concern.

I agree up to a point, but what about the cost? (Concordo em parte, mas e o custo?)

Disagreeing politely

Use “I’m not sure” and “I see your point, but”.Use “I’m not sure” e “I see your point, but”.

I see your point, but I’m not sure it’s realistic.

Suggesting an alternative

Turn disagreement into a proposal.Transforme a discordância em uma proposta.

Perhaps we could test it with one client first? (Talvez pudéssemos testar com um cliente primeiro?)

Agree is a verb

Say I agree, I don’t agree and Do you agree?. Never “I’m agree”: agree is a verb, not an adjective. For a polite no, I don’t agree is softer than I disagree.Diga I agree, I don’t agree e Do you agree?. Nunca “I’m agree”: agree é verbo, não adjetivo. Para um “não” educado, I don’t agree é mais suave que I disagree.

Video calls

If someone interrupts you, you can keep the turn in a friendly way.

Diplomatic language

Native speakers use softeners to sound professional: slightly, a bit, perhaps, I’m afraid, it might be better to. Compare “This plan is bad” with I’m afraid this plan might be a bit risky. Same message, much better reaction.Os nativos usam atenuadores para soar profissionais: slightly, a bit, perhaps, I’m afraid, it might be better to.

Action items and closing the meeting

A good meeting ends with clear decisions: who does what, and by when. Summarise, confirm the action items and set the next step.

Presentations: signposting language

Signposting phrases are like road signs: they tell the audience where you are, where you are going and what is important. They make a presentation easy to follow, even for people who are not native speakers.
